We process your data to assess your application for hackney carriage and private hire licences.

address
phone number
email address
date of birth
National Insurance number
driving licence details
other relevant information such as proof of identity, right to work documents and insurance details
We will also keep sensitive or other special categories of personal data such as:
driving convictions
criminal convictions
mental health
physical health
medication
treatment received
Purpose for processing
We have a legal duty to regulate hackney carriage and private hire vehicles in our district. We will process your data to consider:
applications for driver licences
individuals applying for private hire operators licence

We will use your information will also to contact you about the renewal of your licence.

We will use your contact details to:
keep you up to date with any changes to regulations
tell you when a hackney carriage plate becomes available

If you give us explicit consent, we will use your contact details to send you the Taxi and Private Hire newsletters.
Lawful basis for processing personal data
We process your data on a lawful basis.

We process your data to meet our legal obligations. We collect your personal data to process your licence application under the Town Police Clauses Act 1847 and Local Government (Miscellaneous Provisions) Act 1976 as we are the Licensing Authority.

We process your data where you have given us your explicit consent.
Providing accurate information
It is important that we hold accurate and up to date information about you. This helps us assess your needs and deliver appropriate services.

You must tell us immediately if any of your details change so that we can update your records.

It is an offence to:
give false statements
withhold information
fail to disclose changes in circumstances

We will not:
make any decisions about you based on automated processing
send your data abroad
store your data abroad

To process your application we may share your personal information with:

the DVLA
the Home Office
the Department of Work and Pensions
Doctors
other departments Council departments
other Local Authorities

We will check your information with other sources to make sure it is accurate.

We have a legal duty to check your right to work in the UK if you apply for:
a driver licence
a private hire operators licence

We may check your information with the Home Office and the Department for Work and Pensions (DWP).

We share information with our contractor, C L Panelcraft. They carry out mechanical inspections of vehicles before we issue a licence.

During the time that your licence is valid, we may also check other information about
you
your vehicle
This is to make sure of your continuing fitness to hold your licence.

If we need to disclose sensitive information, we will only do so
once we have got your explicit consent
where we have a legal obligation

We may disclose information when necessary to prevent the risk of harm to an individual.

We will enter information on statutory registers including making it available to the public.

We will only disclose information to other organisations if we have a legal duty to release data to:
prevent or detect fraud
prevent or detect crime
protect public funds
Data retention
We only keep your data for as long as necessary.

We keep the personal information you provide for six years after:
the expiry of a licence
the resolution of an unsuccessful application
the resolution of legal proceedings

After this time, we destroy your information in a secure way.
