This privacy notice covers the information you need to give us when you volunteer as a driver for our Community Transport scheme.

We have measures in place to protect your privacy throughout this process.

We are the Data Controller for the personal information you provide.

We hold and process all personal information in line with data protection legislation.

We will process personal data which we will keep on our secure database.

The data we hold about you will include:
name
address
phone number
email address
date of birth
driving licence details
name and contact details for your next of kin
other relevant information such as next of kin or emergency contact details
We will also keep sensitive or other special categories of personal data such as:
driving convictions
criminal convictions
mental health
physical health
medication
treatment received
Purpose for processing
We will process your data to
assess your suitability as a volunteer driver
contact you in your role as a volunteer driver
Lawful basis for processing personal data
We process your data on a lawful basis.

We process your data to perform a public task.

We need the information you provide to:
register you as a volunteer driver
contact you as a volunteer driver

We process your data where you have given us your explicit consent.
Providing accurate information
It is important that we hold accurate and up to date information about you. This helps us assess your needs and deliver appropriate services.

You must tell us immediately if any of your details change so that we can update your records.

It is an offence to:
give false statements
withhold information
fail to disclose changes in circumstances

We will not:
make any decisions about you based on automated processing
send your data abroad
store your data abroad
Sharing information
We will not share your personal information with any third party unless you have given your consent.

Our Community Transport team will check your driving license
when you first register as a volunteer driver. We will also check it once a year to make sure it is up to date and accurate.

We use the DVLA website to check your driving license using your driver number and National Insurance number.

We check some of your information with other sources such as criminal record checks. We do this to make sure the information you have provided is accurate.

We will only disclose information to other organisations if we have a legal duty to release data to:
prevent or detect fraud
prevent or detect crime
protect public funds
Data retention
We only keep your data for as long as necessary.

We keep the personal information you provide for as Community Transport volunteer driver, for six years after you stop being a volunteer.

After this time, we destroy your information in a secure way.
