Garden Waste Subscription Privacy Notice - Privacy policy

Why we collect your data
Braintree District Council is committed to protecting and respecting your privacy. This notice is provided to clarify what information the Council needs in order to provide you with the garden waste collection service. We will only collect the personal information from you we need in order to do so.

For the purposes of data protection, Braintree District Council is the data controller for the personal information you provide. All personal information is held and processed by Braintree District Council in accordance with Data Protection legislation.
Categories of personal data
The Council will process some or all of the following personal data in order to provide you with the garden waste collection service and to administer your subscription:
Name and contact details including telephone number, address and email addresses.
Bank or card payment information
Purpose for processing
Your personal data will be processed to:
Take payment for your subscription
Provide you with your bin permit
Inform collection crews of your address in order to collect your green garden waste
Contact you if there are any issues or updates with your collection and/or service
Inform you of your collection schedule and how the service operates
Contact you prior to the next subscription year to re-apply
Coordinate with bin replacement service
Online payments are processed using Access Paysuite 360 payment system, and therefore once payment has been made your card details are not retained by the Council
If information is not provided it may affect our ability to process your request.
Lawful basis for processing personal data
The lawful basis for processing your personal data is as follows:
Performance of a contract – to carry out the service requested
Providing accurate information
It is important that we hold accurate and up to date information about you in order to deliver the requested services. If any of your details change please tell us as soon as possible so that we can update our records.

We will not make any decisions about you based on automated processing or send/store your data abroad.
Sharing information
Your information may be shared with other departments within the Council. We may also share your information with companies working on the Council’s behalf to assist in the provision of the service, who would be data processors acting on the Council’s behalf, including a dedicated permit provider, Permiserv, who will be given details of your address to enable the personalised permit to be posted directly to your address. Details of their privacy notice can be found online at https://permiserv.com/privacy-policy/ We will not disclose any information to other organisations unless we have a legal duty to release information for the purposes of preventing and detecting fraud or crime or to protect public funds.
Data retention
Information in relation to requests for garden waste collection will be kept for two years following the end of your subscription.
