Why we collect your data
We are committed to protecting and respecting your privacy.

This privacy notice relates to our Petition scheme, provides additional information that specifically relates to this particular service, and should be read together with our general privacy notice, which provides more detail.

We have measures in place to protect your privacy throughout this process.

We are the Data Controller for the personal information you provide.

We hold and process all personal information in line with data protection legislation.
Categories of personal data
We will will process some or all of the following personal data where necessary
to perform its tasks:
Name;
Addresses including postcode
Contact details of the petition submitter
Email addresses of individuals who submit them when signing online petitions
under the Council’s Petition Scheme.
Signature where paper petition submitted
IP address that you accessed the online service from
We may also collect sensitive information about you, it you choose to include it in
your petition, called special category data such as:
Political opinions
Health and Medical information
Purpose for processing
Your personal data will be processed for the purpose of operating the Council’s
Petition Scheme. When we collect and use your information, we need this to:
Process your petition, and send your details to the relevant Council service to
respond;
Communicate with you regarding a petition you have submitted
Verify the authenticity of submitted petitions. We use this information to
process the petition, to ascertain if a petition contains the signatures of at
least 20 individuals who live, work or study in the Braintree District,
If the petition is to be considered by Members, the request contained in the
petition to write the report. Only the name of the lead petitioner will appear in
the report.
If the petition is to be considered by officers the request contained in the
petition will be considered by the relevant officers.
Lawful basis for processing personal data
The lawful basis on which we process your data is that it is in the public interest, under Article 6 (e) General Data Protection Regulations.

We collect your information as part of our public duties as a local authority in order to manage your petitions effectively.
Providing accurate information
All of the information we hold is supplied by you when you submit your details to a
petition.

As a petition submitter, if you do not provide your contact details we will be
unable to provide you with a response so we reserves its right to stop
working on the petition.

As a petition signatory, if you do not provide your details we will be unable to verify if you are genuine qualifying signatory.
Sharing information
As a Petition submitter, your information will be shared with
other Council staff members

Petitions may be considered and debated at formal meetings of the Council or one of it Committees.
At such a meeting a copy of the petition may be made available for
inspection by Councillors.

We will not give information about you to anyone else unless your consent has been given or the law allows.
Data retention
We will only keep your data for as long as necessary.
If a petition is considered by Members, any information recorded in the Minutes will be kept permanently.
Details of the Lead Petitioner will be kept permanently. All other personal data will be
held for 1 year from the date of the last action necessary for the processing of the
Petition in accordance with the Petition Scheme.
